The Support Services team is seeking an administrative coordinator to provide essential support across all Lavelle departments. Reporting to the Office Manager, this office administrator role goes beyond typical administrative tasks—it’s a key position that ensures seamless operations and cross-departmental efficiency.

Key Responsibilities

  • Perform administrative support functions for day-to-day activities
  • Create and update Excel spreadsheets, scanning documents, and clerical duties
  • Provide backup support to the Office Manager and assisting with other support tasks as needed
  • Coordinate meetings, lunches, and travel arrangements for various occasions
  • Back-up Receptionist – use of a multi-line phone system, facsimile sorting and delivery, Invoicing, office supply management
  • Back-up Admin support for the Whitewater Facility to include attendance tracking and payroll knowledge
  • Support the HR department by filing or scanning documents, posting Federal Law Compliance signs, maintaining Excel worksheets, and metrics
  • Manage LVTV (electronic bulletin board) and on-site communication bulletins
  • Organize company-wide events such as Wellness events, Holiday parties, Employee-related celebrations, Bridal and Baby showers etc. This will occasionally require flexing hours to accommodate our off shifts.
  • Perform other administrative functions on an as-needed basis

Knowledge and Skills

  • 1-3 years administrative experience
  • Bilingual (Spanish/English) candidates preferred
  • Possesses an upbeat, can-do personality
  • Demonstrated drive for continuous improvement
  • Great attention to detail skills
  • Use appropriate and effective communication for good customer service (both oral and written)
  • High School Diploma or equivalent is required
  • Basic knowledge of Microsoft Office systems
  • Ability to commute to Whitewater, WI facility as needed

Work Schedule

  • Full time (8 hour shift)
  • Monday to Friday
